# How to choose cold email software

The ten things that decide whether a cold email tool gets you replies or gets your domain burned, and what to ask before you pay.

Updated 2 November 2026, 6 minute read

Most cold email tools look alike on their home pages. The differences that matter show up after a few weeks: in your reply rate, your bounce rate, and whether your domain still reaches the inbox. These ten questions tell them apart.

## 1\. Does it send from your own mailboxes?

Cold email should go out through your own Google Workspace, Microsoft 365 or Zoho mailboxes, not a shared bulk-sending server. Check that you can connect several mailboxes and that there's no fee per mailbox.

## 2\. Does it spread sending through the day?

Sending 50 emails in five minutes looks like a bulk blast. Good tools spread each mailbox's daily emails across a sending window, with random gaps.

## 3\. How does it protect new mailboxes?

Ask what happens on day one. A safe tool starts new mailboxes at a low daily volume and raises it over a few weeks. Be careful with tools that rely on warm-up networks: Google pushed GMass to shut down its warm-up in 2023, and in 2026 the Heatwave blocklist began listing domains for artificial warming. See [why we don't do warm-up](/guides/why-no-warmup).

## 4\. Does it check your list before sending?

Bounces hurt fast. The tool should leave out addresses that can't receive email, throwaway inboxes and team addresses like info@ before anything is sent, and pause campaigns automatically if bounces spike.

## 5\. Does it help with SPF, DKIM and DMARC?

Google and Yahoo require them for bulk senders. A good tool checks your DNS and tells you the exact record to add for your provider. Our guide: [SPF, DKIM and DMARC](/guides/spf-dkim-dmarc).

## 6\. Are the open rates honest?

Apple Mail and company security scanners "open" emails automatically. If a tool counts those, your open rate looks great and means nothing. Ask whether machine opens are filtered out.

## 7\. Where do replies go?

With many mailboxes, you need one inbox for all replies, with labels, out-of-office detection, and the sequence stopping when someone replies.

## 8\. Can you see what each lead will get?

Personalisation errors are embarrassing. Look for a preview of every step for a real lead, and a test email before launch.

## 9\. Does it work with your other tools and with AI?

Check for CRM sync (HubSpot, Salesforce), webhooks, a full API, and an MCP server if you want AI assistants to manage campaigns for you, and whether these cost extra.

## 10\. Is the price simple?

Watch for per-mailbox fees, contact limits, and features locked to higher tiers. If you're in India, check for rupee billing, UPI and GST invoices.

## A quick scorecard

| Question | GTM and Outreach |
| --- | --- |
| Own mailboxes, no per-mailbox fee | Yes, unlimited |
| Sending spread through the day | Yes, smart scheduling |
| New mailbox protection | Slow start: 10, 20, then 30 a day |
| List checks before sending | Yes, on every upload |
| DNS help per provider | Yes, with exact steps |
| Machine opens filtered | Yes, shown but not counted |
| One inbox for replies | Yes, the Master Inbox |
